A month-by-month planning calendar for school counselors: when to promote virtual college fairs, campus visits, and application milestones for seniors, juniors, and underclassmen.

Use this calendar to plan when college exploration activities land for each grade level. Virtual college fairs fit in almost anywhere, so the goal is to place them where they support what students are already working on that month. Dates below are typical; always confirm deadlines with each college and with the current FAFSA timeline.
Fall Semester: August - December

Planning Tips
Start of year: Identify students in each career interest area and note the fair types most relevant to them. Build a promotion timeline 3-4 weeks before each fair you plan to share.
CTE integration: Share this calendar with CTE department heads at the start of the year. Many teachers will promote relevant fairs directly to their classes if you make it easy.
Seniors vs. underclassmen: For seniors, prioritize fairs in the fall and early spring when admissions decisions are being made. For underclassmen, spring fairs are great for career exploration without the pressure of immediate decisions.
